IT for Miami accounting firms

Tax season is 90 days of no-mistakes-allowed pressure. We keep QuickBooks, Drake, ProSeries, and Lacerte running, your client data IRS-compliant, and your servers up through every 11pm filing rush — so you bill out the hours instead of debugging printers.

What we see

The 3 IT pains that hurt accounting firms most

01 / PAIN

QuickBooks multi-user breaks during the worst week

It happens every April. QB Database Server stops responding. Five seats locked out. Three deadlines tonight. We engineer hosted QB or self-hosted with proper multi-user mode + nightly backup tested + the QB ecosystem (Karbon, Practice CS, Drake) integrated to actually talk to each other.

02 / PAIN

IRS Publication 4557 is non-optional and most firms fail it

If you transmit returns electronically, the IRS requires a written security plan covering encryption, access controls, employee training, breach response, and vendor management. Most firms have… nothing. We write yours, deploy the controls, and document everything for the inevitable audit.

03 / PAIN

Client document collection is a security nightmare

W-2s and 1099s emailed as PDFs. SSNs in attachments. Spouses CCing each other. We deploy a proper secure client portal (SmartVault, ShareFile, Liscio) + DLP on inbound email + automated scrubbing so unencrypted SSNs never sit in your inbox waiting for a breach.

Compliance

We cover your industry's required frameworks.

IRS Pub 4557
IRS Pub 4557 Security Plan

Required for any paid preparer. We write the plan, deploy the controls, and produce the audit-ready binder.

FTC Safeguards
FTC Safeguards Rule (GLBA)

Updated 2023 — requires designated Qualified Individual + risk assessment + 8 specific controls. We are your Qualified Individual.

WISP
Written Information Security Plan

Florida-specific written plan documenting how you protect client info. We provide the template + tailoring.

PCI-DSS
PCI-DSS (if you process payments)

For firms taking client payments. Network segmentation + tokenization to minimize scope.

What we deliver

Full managed IT for accounting firms

  • QuickBooks expertise — Desktop, Online, Enterprise. Hosted (Rightworks, Cetrom) or self-hosted with proper multi-user mode. Database repair when corruption hits.
  • Tax software support — Drake, ProSeries, Lacerte, UltraTax, ATX — Configuration, e-file diagnostics, integration with QuickBooks/practice management.
  • Secure client portal deployment — SmartVault, ShareFile, Citrix ShareFile, Liscio, or Suralink. Configured for IRS compliance and your actual workflow.
  • M365 for accountants — Exchange Online with DLP rules that block SSNs in outbound email, MFA enforced, conditional access.
  • Backup tested for tax-season survival — Image + file + database backups, restore-tested monthly. When your server dies April 13th, we are back online same day.
  • Tax-season 24/7 surge support — February through April: we are on call 7am-midnight, weekends included. The rest of the year: standard SLA.
  • Server / desktop fleet management — Patches, antivirus, monitoring, automated maintenance windows. We touch each machine quarterly.
Why us

We are not generalists playing at business IT.

We support 11 Miami accounting firms today — from solo CPAs in Coral Gables to a 40-seat firm in Doral handling LATAM corporate tax. Our lead built the IT stack for a Top-200 firm in Miami before joining us. We know which printer driver breaks Drake, why ProSeries can't see the network share, and which version of QuickBooks Database Server crashes on Windows Server 2022. Bilingual EN+ES, IRS-aware, tax-season-tested.

FAQ

What accounting firms ask us most

Can you survive the tax-season surge?
Yes. We dedicate two engineers exclusively to accounting clients from Feb 1 through April 18. Response time stays under 15 minutes even at 9pm on April 14. That coverage is included in your retainer — no surge billing.
Will you write our IRS Pub 4557 / FTC Safeguards plan?
Yes — included with our engagement. We do the risk assessment, write the WISP, document the controls we deploy, and produce a binder ready for any IRS or state audit. We also serve as your designated Qualified Individual under FTC Safeguards if you don't have one in-house.
Can you migrate us off our existing IT provider?
Yes — outside of January-April (we never start migrations during tax season). May through December we run a 30-day shadow period, then a parallel cutover over a weekend. Your firm experiences no downtime.
What about hosted QuickBooks vs self-hosted?
Both work; depends on firm size and how custom your setup is. Hosted (Rightworks, Cetrom, Sumi) is best for 2-15 seats with off-the-shelf workflows. Self-hosted is better when you have custom integrations or need on-prem performance. We do the cost-benefit analysis as part of the audit.
Our partner uses a Mac. Will that be a problem?
No. We handle Mac + PC mixed environments routinely. QuickBooks Online + browser-based tax tools work fine. For QB Desktop, we host it Windows-side and partner accesses via Mac RDP client. Smooth.
